Booking terms
These booking terms of Vinhan kirjakauppa apply to the booking of accommodation by individuals at Vinhan kirjakauppa. Hereinafter, the party booking accommodation will be referred to as the “Customer”. The booking terms for group bookings as well as information on the right to cancel and make changes will be agreed on a case-by-case basis when you make a group booking. The hotel has the right to apply special terms that differ from these terms, if the application of special terms is justified due to a public holiday, special event, seasonal changes or additional services related to the accommodation.
PRICES AND PAYMENT
The prices of the hotel rooms offered by Vinha (later referred to individually as “room”) vary depending on the time as well as demand. Vinha can also offer various additional services available in connection with accommodation (such as breakfast); their availability and prices will be stated separately at each time. At its discretion, Vinha may also offer rooms and additional services at different special and combined prices as a part of limited campaigns. All prices and special offers valid at a time can be found on Vinha’s website at vinhankirjakauppa.fi. Customers accept the limitations on cancellation and changes that may be related to the price of their booking. A room booked by a Customer is paid in advance in connection with the booking, unless Vinha has separately stated otherwise.
BOOKING AND CONFIRMATION
Rooms are booked online at the address vinhankirjakauppa.fi. When making a booking and at least 24 hours before the stated check-in date, customers must provide the personal data required by Vinha on all persons included in the same accommodation booking as the Customer (name, home address, time of arrival and departure). If the Customer does not provide the personal data as mentioned above, Vinha has the right not to confirm the Customer’s booking or cancel a booking that has already been made and refund the Customer the price the Customer has already paid. A booking made by the Customer becomes binding on Vinha when the Customer has paid when booking the room and received a booking confirmation by email. After the booking has been confirmed, the accommodation company does not have the right to raise the agreed price of the accommodation or reduce it in the same way or otherwise change booking terms, unless such a change is directly due to a change in legislation or mandatory regulations by the authorities. However, in that case a confirmed price cannot be increased. The booking terms of the external sales channel apply to the bookings made via external sales channels (Booking.com).
PAYING FOR THE BOOKING AND TERM OF PAYMENT
The accommodation is paid at the time of booking the room.
RIGHT TO CANCEL
Customers can cancel their booking within the limits of the terms of cancellation in accordance with the booking channel used and the booking price. If the booking was made via Vinha’s website, it must be cancelled by sending an email to the address vinha@vinhankirjakauppa.fi. The cancellation email must state the name, the time of the stay and the booking number. If the booking was made with an invoice, a possible new invoice or credit note on the changes or cancellations will be sent to the contact person provided in the booking. If no other agreements have been made in connection with the booking and no other terms are related to the price or time of booking you have selected, the cancellation must be made 3 days before arrival by 18:00 at the latest.
The Customer will receive a refund as a payment to the Customer’s account or as a refund to the credit card. After this, bookings can no longer be changed or cancelled. Case-by-case booking terms that are agreed separately apply to groups. If you do not arrive, the hotel has the right to charge you for the price of one day with tax as well as other potential additional services related to the booking included as compensation.
Note! Bookings made via Booking.com must be changed and cancelled the same way as the booking was made. The right to cancel and make changes does not apply to bookings with terms in which these rights are not included. The applicable terms of cancellation may vary depending on the room type selected, the time and the terms of a possible campaign. Customers are obliged to ensure that they have carefully reviewed the applicable terms of cancellation before booking.
In case of bookings to be invoiced, the failure to pay the advance fee is not a valid cancellation; instead, Vinha must be notified about the cancellation separately within the terms of cancellation. If you leave before the agreed date of departure, you must notify the hotel about your departure by 18:00 on the previous day at the latest. If the stay includes several nights, you must pay the agreed price for the unused time.
STAY AT THE ROOM AND CHECK-OUT
The room is available to the guests on the check-in day starting from 15:00. Unless otherwise agreed in connection with the booking and if there are no other terms related to the price you have selected and the time you have booked, the room will be kept reserved to you until 18:00 on the check-in day stated in the booking.
The persons staying in the room are not allowed to let outsiders onto the hotel premises. At its discretion, Vinha has the right to remove from the hotel premises any persons who are not Customers or persons included in the same booking in connection with booking the accommodation. Keys providing access to the hotel and/or the rooms must not be handed over to any persons other than those reported as staying in the room. The maximum number of people staying in a room is the room capacity, that is, two persons in a double room, for example. The persons staying in a room must check out of the room by 12:00 noon on the check-out day. The hotel may also have other check-in and check-out times. Vinha is not liable for items left in the rooms or common areas. The persons staying in a room must always check that the doors are locked when leaving the room or Vinha. If a Customer does not check out of the room by 12:00 noon on the check-out day and therefore prevents the cleaning the room, for instance, Vinha has the right to charge the customer €50 for each hour starting after 12:00 noon until the Customer has checked out of the room appropriately. We charge €50 per key for lost keys. Customers are obliged to notify us about a lost key immediately after noticing that the key has been lost.
VINHA’S RIGHT OF TERMINATION AND CANCELLATION
If the room booking continues after the due date of the invoice, and if a separately invoiced booking fee or other fees charged by Vinha have not been paid on the due date of the invoice at the latest, Vinha has the right to terminate the agreement with immediate effect. A notice of termination will be sent by email to the email address provided when the booking was made. If a Customer, a person included in the same booking in connection with booking the accommodation or another person whom these parties have allowed to enter the hotel premises materially breaches the Booking Terms or the rules and regulations, Vinha has the right to cancel the agreement with immediate effect. Among other things, the following are considered a material breach: (i) handing over a key to a party other than a person included in the same booking in connection with booking the accommodation; (ii) accommodating a person in the room other than a person included in the same booking when booking the accommodation; (iii) using the room for purposes other than personal accommodation, such as engaging in business or gainful employment, without permission granted by Vinha in advance; (iv) behaviour that causes a disturbance to the hotel residents or those living in the vicinity of the hotel; and (v) damaging the hotel room, the common areas of the hotel or the property therein. A notice of cancellation will be sent by email to the email address provided when the booking was made.
If a Customer or a person included in the same booking in connection with booking the accommodation has materially breached these Booking Terms or the rules and regulations of the hotel during a previous stay, Vinha reserves the right to not accept a new booking by the Customer or cancel any new bookings by such a Customer before they begin at its discretion. If Vinha cancels a new booking made by the Customer on the grounds mentioned above, Vinha’s liability to refund payments made by the Customer in advance is limited. The Customer does not have the right to a refund of the payments made or any other compensation, if Vinha terminates the agreement as described above.
FORCE MAJEURE
Vinha is not liable for any damage, delay or failure to fulfil the agreement caused by a factor or obstacle that is outside Vinha’s influence and that Vinha cannot be reasonably expected to have taken into account at the time when the booking was made or after it, and the consequences of which it could not have reasonably avoided or overcome (force majeure). Without restrictions, fire, water damage, war, state of emergency, natural disaster or prohibition or order of an authority that leads to the hotel being out of service completely or partially, for example, are considered force majeure. When force majeure applies to a Room booked by the Customer or if it affects its use, Vinha has the right to cancel a booking made by the Customer either before the accommodation starts (if the force majeure occurs before this) or during the stay (if the force majeure occurs during the stay). Vinha will notify the Customer about a cancellation due to force majeure without delay after finding out about it. If Vinha cancels a booking made by the Customer due to force majeure, Vinha’s liability is limited to refunding the payments that have already been made by the Customer. In said cases, Vinha is not obliged to find replacement accommodation for the Customer or compensate the Customer for any other costs, expenses or damages due to the cancellation or the event that acts as grounds for the force majeure (such as the additional costs incurred by the Customer due to finding other accommodation, travel costs, or damage to the Customer’s property in the room), with the exception of and only to the amount to which said costs, expenses or damages may be compensable based on Vinha’s insurance policies at the time of the event.
CLEANING THE ROOM
When the stay lasts for several days, the room is cleaned upon request. Cleaning is only done from 12:00 noon to 15:00. If necessary, Vinha’s staff have the right to visit the room during the stay due to necessary maintenance or other similar reasons, for example.
AGE LIMITS
Customers must be of age. Minors are allowed to stay at the hotel, provided that at least one adult stays in the same room.
RULES AND REGULATIONS
Vinha aims to offer a safe and comfortable customer experience for its customers. For this reason, and to ensure the comfort and safety of everyone, all guests staying at Vinha must follow these rules and regulations as well as the rules on the signs at the hotel. Please note that violating these rules and regulations may lead to being removed from the hotel immediately and becoming liable for damages. Guests must practise good manners and behave appropriately on the hotel premises. Guests must not disturb the other people staying at the hotel or in the vicinity of the hotel with their behaviour, such as by making noise, damaging property or acting disruptively in other ways. Guests are also responsible for any other people they have allowed to enter the hotel.
The property in the hotel rooms and the common areas of the hotel must not be damaged. The property in the hotel rooms must not be taken outside the room. Bringing objects or substances that are dangerous or harmful to others on the hotel premises is prohibited.
All guests have the right to a peaceful stay. Especially from 22:00 to 06:00 in the morning, guests must avoid loud speech, listening to music or other noise that may disturb the other guests.
Smoking and open fire (including burning candles, incense or similar) in the rooms and other areas in the hotel is strictly prohibited and may cause an automatic fire alarm. A person who violates this prohibition is liable for all alarm, maintenance and cleaning costs caused by this.
Smoking is prohibited indoors. A ventilation fee of
€100 is charged for smoking indoors without permission. Smoking is only allowed at the special smoking point assigned by Vinha in the hotel area or its immediate vicinity. Notice must always be given when bringing a pet to the hotel. Bringing pets to the hotel premises without notice is prohibited. Guests who bring animals to the hotel premises are liable to compensate for all maintenance, administrative and cleaning costs due to violating the prohibition. We charge €19/pet/booking for bringing a pet along. If a pet is brought in without permission, an additional fee of €50/pet/day is charged.
Letting unauthorised persons onto the hotel premises is prohibited. The entrance doors of the hotel as well as the hotel room doors must be kept locked to prevent unauthorised people from entering the hotel premises. Guests must ensure that the hotel entrance door is locked after they go through the door.
Keys given to guests must be stored carefully, and they must not be handed over to any persons other than those reported as staying in the room. In order to safeguard overall safety and the guests’ property, guests cannot store any items in the common areas of the hotel (such as the entrance hall, corridors, etc.). The common areas of the hotel may have recording video surveillance in order to maintain order and ensure the safety of the guests. If necessary, guests can contact the Vinha staff in case of a disturbance; the contact information is on view at the hotel. The accommodation areas at Vinha are intended only for personal accommodation purposes. Engaging in any kind of business or gainful employment on Vinha premises without permission granted in advance is prohibited.
GUESTS’ LIABILITY
Customers are responsible for ensuring that the contact information provided when booking is correct. Vinha is not liable for compensation in situations in which the booking confirmation or other information related to the booking cannot be sent to the Customer due to incorrect contact information. The Customer is liable in full for any damages to and costs incurred by the hotel (including, without restrictions, the common areas and rooms with their furniture and equipment), other customers or third parties or their property that are due to negligent or intentional actions by a Customer, guest or other person they have allowed to enter the hotel premises, or that result from acting in violation of these Booking Terms. If the identity of the party staying in the room who caused the damage or costs cannot be determined or if it is not possible to charge the damage or costs from said party, the damage and costs will be charged to the Customer. As a Customer, you are liable for any damage that you or your guests or pets, intentionally or due to negligence (such as smoking in the room), cause to the room or other premises of the hotel, the furniture or equipment they contain or the other customers of the hotel or their property. The liability for the damage is determined based on the general principles of compensation for damages.
LOST PROPERTY
Any items left behind at Vinha will be stored for one week.
VINHA’S LIABILITY
If a Customer or guest notices a fault or deficiency related to a booking they have made or the equipment or condition of the hotel rooms, they must notify the Vinha staff about it immediately after noticing the fault, or during the stay in any case, so that Vinha has the opportunity to correct the fault or deficiency during the stay. Vinha is not liable to compensate the Customer for any faults or deficiencies that have not been reported to Vinha as stated above.
If the Customer arrives at the hotel in compliance with the hotel’s check-in times but the booked room is not free, Vinha aims to provide the nearest possible room of similar quality without any additional cost. If Vinha is not able to provide any of the accommodation booked by the Customer as agreed, the Customer has the right to be refunded the payments made. Vinha must notify the Customer about possible changes to the booking without delay. Vinha is not liable for any damage to or loss of a means of transport in the car park or any property it contains.
OTHER TERMS
These Booking Terms do not affect the Customer’s rights based on mandatory consumer protection legislation. Vinha reserves the right to make changes to these Booking Terms. Vinha aims to publish a notification of the changes before their entry into force on its website or by other means it considers suitable. Customers are obliged to ensure that, before confirming the booking, they have reviewed the valid version of the Booking Terms.
